Retention, Disposal, and Transfer: What Local Authorities & Public Offices Need to Know

In May 2025, I presented to the Archives and Records Association of New Zealand (ARANZ) on one of the most critical, and often misunderstood, areas of information management in Aotearoa: Retention & Disposal (R&D), Disposal and the transfer of digital and physical records.

This session focused on the legislative responsibilities of local authorities and public offices under the Public Records Act 2005, including:

  • The difference between disposal and transfer, and why both must be authorised and documented
  • How public offices and local authorities are treated differently under the Act
  • Key tools like GDA6, GDA7, and the List of Protected Records
  • The importance of incorporating metadata in disposal actions
  • Examples of physical and digital transfers, including case studies from Archives Central
